Converting an entity allows SAM Leads to set one record as another record type. Examples: Staff that are Volunteers, Birth Mothers that are Therapy Clients, Families that are Donors.
This maintains the current record and creates another record. The records are linked and common fields like address, phone number, and email are the same. Common fields are updated from either record.

In SAM, open a record > click Advanced Options (sidebar) > Convert to other Entity Type > select other record type to set the original record > Confirm After Confirm,

Main Entity Types Links
This field is available on all Main Entity Tables. When a record is converted, this field will provides links to the other linked records.
There is also a Main Entity Types checkbox-list field on all Parent Tables, which tracks the linked entity types.
Converted Record Entered Date / Entered By
For records that are converted from another the Entered Date and Entered By fields are recorded as the Entered Date and Entered By User of the original record.
Permissions Requirements
A user must have permission to edit records to access this function. Users must also have access to edit specific entity types to convert a record to that entity. For example, if a permission limits access to Donors, but can view and edit Families, the User will be unable to select Donor in the Conversion process.
Common Fields Setup

In SAM, open a record > click Advanced Options (sidebar) > Convert to Other Entity > Common Fields Setup (sidebar) To add new common field, click Add Fields (sidebar) > select desired field on the first (Family) table > Save > select mapped fields for other entities > Save To edit a common field, click edit (pencil) on desired common field setup > update > Save It's not possible to delete common field setups at this time. Edit a common field to remove all mappings > Save |
Any fields on the Main Entity / Parent Table can be synced across Entities as long as they are the same field type and use the same list.
Remove an Entity Conversion Link

In SAM, open a client record > click Advanced Options (sidebar) > Convert to other Entity Type (sidebar) > click edit (pencil icon) on Existing Connections section > click delete button (trash can icon) to unlink > click OK > click Yes, Delete this Record twice to confirm deletion Note: The entity conversion record is deleted. No client records are deleted. |
