Report Builder allows SAM Leads to build unlimited reports from the data your organization tracks.
Prerequisites to Building a Report
Before starting to build a report, getting clear on the following will help you put the report together.
- Purpose of the Report - why do you need this report and who is it for
- Entity Type - what record is the report based on (Example: Family, Child, Organization, etc.)
- Tables Needed - what data that should be included on the report
Understanding Tables and Fields, which show the relationship of the data, is important.
Create New Report

In SAM, click Settings (gear icon) > click Create New Report (sidebar) > enter a report name & memo > Save > Select the Base Entity Type the report will describe > Save > Select additional tables if applicable > Save > select fields (report columns) > Save Report Builder will open. |
Report Customization Options
Tables on Report
Shows the hierarchy of tables available on the report. Verify that these tables have the data needed to fulfill the purpose of the report. Multiple tables can be selected. Some combinations of tables will not make sense, such as multiple multi-record tables.
'Must Be in Results'
Checking this option further limit the report to records that have data entered on the specified table

In SAM, click Settings (gear icon) > Reports > select desired Report > Tables on Report > click Edit button (pencil icon) > select desired tables > Save Modify as desired. |
Filters
Include filters to reduce the results of the report. These filters will create the default report each time the report is accessed.
'Must Match'
When using the option " this option will appear by each filter criteria. Check this option to further limit the report to records that match the desired filter.
Add a New Filter

In SAM, click Settings (gear icon) > Reports > select desired Report > Filters > click Edit button (pencil icon) > click Add Filter > Select desired Table & Field and criteria > Save Modify as desired. |
Edit an Existing Filter

In SAM, click Settings (gear icon) > Reports > select desired Report > Filters > click Edit button (pencil icon) > select a different Table & Field and/or filter criteria > Save Modify as desired. |
Default Sorting
Sorting displays the results in a specified order. SAM allows you to sort by any field from the included tables in descending or ascending order. You can select up to three fields to sort by.

In SAM, click Settings (gear icon) > Reports > select desired Report > Default Sorting > click Edit button (pencil icon) > select table > select field > select Ascending or Descending > Save Modify as desired. |
Report Stats
Report stats aggregate the data from a selected field and provide a quick view of the report data.
Report Stat Options
- Select Table and Field - Tables included on the report are shown in the list.
- Field Title Override - Set a custom label for the information presented (optional).
- Special Date Options - Setting for Date fields to group dates. Example: Year, Quarter, Year-Month.
- Stat Types - Calculate record counts per field value and/or percentage of total records.
- Aggregate Field - An additional component to summarize the primary stat with another number/currency field by totals, totals-percent, average, min, and max.

Order By - Sort stat ascending/descending by Field Title or values.
Note: This feature is not available for calculated fields.
Add a Report Stat

In SAM, click Settings (gear icon) > Reports > select desired Report > click Add Report Stat (sidebar) OR within Report Stats section header, click Add button (plus icon) > select a table & field for the report stat and customize the report stat a desired > Save Modify as desired. |
Edit a Report Stat

In SAM, click Settings (gear icon) > Reports > select desired Report > Report Stats > click Edit button (pencil icon) > click Edit button (pencil icon) next to desired report stat > customize the report stat a desired > Save Modify as desired. |
Remove a Report Stat

In SAM, open a report > click Report Stats accordion caret > click Edit (lower right corner of Report Stat) > Remove > OK In SAM, click Settings (gear icon) > Reports > select desired Report > Report Stats > click Edit button (pencil icon) > click Delete button (trash can icon) for desired Report Stat |
Report Options
These are additional selections to tailor the report's outcome. Fields must allow totals on forms and reports for that field's statistics to be presented.
- Show Totals - Totals specified fields at the bottom of each page of the report
- Show Averages - Averages specified fields at the bottom of each page of the report.
- Show Min & Max - shows the Minimum and Maximum for specified fields at the bottom of each page of the report.
- Rec/Page - changes the default number of records displayed on each page.
- Allow Users to Edit Field Values - allows users to edit fields directly on the report
- Show Record Counts on Report Menu - shows counts of records on user's Report Menu
Note: This feature is not available for calculated fields.
Report Builder Sidebar
The sidebar on Report Builder allows for additional customization options.
- Open Report - open the report data in a new tab
- Add Field - add a field to report
- Add Report Stat - Add a Report Stat
- Edit Report Name - adjust the title of the report and the report hint/memo
- Edit Column Order - organize field/column(s) listed
- Edit Column Width - drag blue bars next to field left/right to (de)increase column width
- Remove Field - remove a field from from the report
- Copy Report - create a duplicate of the report you are on
Edit Column Order
To customize the order of the columns across the top of your report, click Edit Column Order from the sidebar. You'll see the columns with numbers above. Simply click the drop down arrow and select the column number where you want to show that data.

Copy Report

In SAM, click Settings (gear icon) > Reports > select desired Report > click Copy Report (sidebar) > name the report > Save Modify as desired. |
Advanced Options
There are even more customization options under the Advanced Options area of the sidebar.
- Misc. Advanced Options - options to change Hint/Memo, report styling, and Report List visibility
- Delete Report - delete the report from SAM
- Modification History - view history of changes made to the report
Create Report from Form
To quickly build a report from a form setup as desired.

In SAM, click Settings (gear icon) > Forms > open desired form > click Advanced Options (sidebar) > Create Report for Form SAM will open a new tab to the report. When you open Report Builder for the report, a warning will display notifying that you cannot add or remove fields or tables from this report, but you can change anything else. This warning also shows if you open the report to view the data. |
