Report Builder allows SAM Leads to build unlimited reports from the data your organization tracks.
Prerequisites to Build a Report
Before starting to build a report, getting clear on the following will help you put the report together.
- Purpose of the report - why do you need this report and who is it for
- Entity type - what record is the report based on (Example: Family, Child, Organization, etc.)
- Tables needed - additional data that should be included on the report
Understanding Tables and Fields, which show the relationship of the data, is important.
Create New Report
In SAM, click Settings > Report Builder > select desired Report > click Create New Report (sidebar) > name your report > Select the Main Entity record the report will describe > Save > Select additional sub-tables the report is about > Save > Click on a table name to select fields (report columns) > add check next to desired field(s) > Save The Report Builder will open. A report preview of the selected column fields is shown at the top of the screen. Further modifications to the report can be made using the sidebar. |
Filters
Include filters to reduce the results of the report. These filters will create the default report each time the report is accessed.
'Must Be in Results' will limit the report to records that have sub-records from the table marked as such.
Default Sorting
Sorting displays the results in a specified order. SAM allows you to sort by any field from the included tables descending/ascending. You can select up to three fields to sort by.
- Click Modify Default Sorting.
- Select the table, then field to sort by. Select Ascending or Descending.
- Click Save.
Report Builder Sidebar
- Create New Report
- Create New Report from This One - create a duplicate of report you are on
- Add Field to Report
- Remove Field from Report
- Modify Column Order - organize field/column(s) listed
- Open Report - open the actual report data in a new tab
Report Options
These are additional selections to tailor the report's outcome.
- Show Totals - Totals specified fields at the bottom of each page of the report
- Show Averages - Averages specified fields at the bottom of each page of the report.
- Show Min & Max - shows the Minimum and Maximum for specified fields at the bottom of each page of the report.
Fields must allow totals on forms and reports for that field's statistics to be presented.
- Rec/Page - changes the default number of records displayed on each page.
- Show Record Counts on Report Menu - shows counts of records on user's Report Menu
- Field Values Editable - allows users to edit fields directly on the report
Multiple tables can be selected. Some combinations of tables will not make sense, such as multiple 1:Many tables.
Create New Report from Existing
In SAM, click Settings > Report Builder > select desired Report > click Create New Report From This One (sidebar) > name your report > Save Modify as desired. |
Create Report from Form
To build a report quickly from a form setup as desired.
In SAM, open desired form > click Advanced Options (sidebar) > edit in Form Customizer > click Advanced Options (sidebar) > Really Advanced Options > Create Report for Form SAM will open a new tab to the report. When you open Report Builder for the report, a warning will display notifying that the report cannot be updated without unlinking the form from the report. |
Modify Column Order
To customize the order of the columns across the top of your report, click Modify Column Order from the sidebar. You'll see the columns with numbers above. Simply click the drop down arrow and select the column number where you want to show that data.
Advanced Options
There are even more customization options under the Advanced Options area of the sidebar.
- Modify Column Widths - Blue bars displayed on each side of fields that can be dragged left or right to increase/decrease the width of the column.
- Modify Report Name - Rename the current report
- Modify Tables Included on Report - Add/remove tables used on the report
- Misc Advanced Options - options to change the Report Name, Report Hint/Memo, and selections for Template Report Styling
- Delete Report - Delete the report from SAM
