This is the email setup if your agency does not use Google Workspace/GMail or Microsoft365/Outlook.

What to know:
- Settings must be entered before users can send emails and perform Auto Actions.
- Have your SMTP and IMAP Server Settings handy. Your technical team can help you!
- Settings must be updated when email login credentials change.
- Settings must be reset when an alert notifies that these settings are not working.
Setup Steps
- Connect a SAM Lead User's email account to their Person record in SAM.
- Setup the Default Email Account.
- Connect other User's email accounts, as needed.
You may choose to setup a generic Person record and email account, like hello@yourdomain.com email address to be the default.
Connect a User's Email Account
It's recommended users setup their own email account in addition to the Default. When a user's email account is not setup, default settings will be used.
In SAM, click Settings > Update My Email Settings > check Send Emails Using Own Email Account > check Email Importing Enabled (if desired) > click Manually Enter Username and Password (below Sign in with ... ) > complete User Email Settings and Credentials > Save |
Email Address To Reply-To and Display Name for Email Sending (Optional) fields are optional.
Setup the Default Email Account
Considerations
- You may want a generic@yourdomain.com email address setup as the default, rather than an employee's direct email account.
- The user associated as default email account will receive pop-up alerts in SAM to confirm Auto Action emails unless another user is specified in the Auto Action setup.
- Auto Action emails have an option to change 'Reply To'.
In SAM, click Settings > Email Settings Hub > Default Email Account (sidebar) > select a user that exists or click Enter New Account in drop down > enter requested information > Save > an email will be sent to confirm settings to the email address entered |
Email Address To Reply-To and Display Name for Email Sending (Optional) fields are optional.
Test Default Settings
In SAM, click Settings > Email Settings Hub > Default Email Account (sidebar) > Advanced Test Email Sending Settings (sidebar) > follow prompts to send an email to yourself |
If you do not receive an email, reset the password for the email account.
Email Encryption
SAM passes emails to your server via SSL (encryption) when your Email Server supports SSL and you've entered those settings in Default Email Sending Settings. Once SAM passes the email to your Email Server, the security of the email is beyond SAM's scope.
Backup Email Account
In SAM, click Settings > Email Settings Hub > Default Email Account (sidebar)> Enter Backup Email Account > select a user or select - Enter New Account - in the drop down > enter requested information > Save > an email will be sent to confirm settings to the email address entered |

Review/Update another User's Email Settings
In SAM, navigate to a user's Person record > click Advanced Options (sidebar) > Edit Email Settings > edit the user's settings |
Different Email Server from Default
In rare situations, users may have a different email server than the Default, these users will need to enter their unique email server details.
In SAM, click Settings > Update My Email Settings > check boxes for 'Send Emails Using Own Email Account' and/or 'Email Importing Enabled' > click Manually Enter Username and Password (below Sign in with ... ) > click 'Enter Different Email Server from Default' (under Save) > complete User Email Settings and Credentials and your email provider's server details > Save |
Disconnect a User's Email Account
In SAM, navigate to a user's Person record > click Advanced Options (sidebar) > Edit Email Settings > uncheck Send Emails Using Own Email Account > uncheck Email Importing Enabled if you no longer wish to import the emails from this user's account |
Having Trouble?
- Settings must be updated when email login credentials change.

It may take a minute or two to save for SAM to confirm the information that you entered is correct. If you have put in the wrong username or password then SAM will alert you.
- The first run of Email Importing may take several hours. Email Importing runs nightly.
