It is possible to exclude email addresses, domains and folders from automatic email importing.
By default, SAM will exclude intra-agency emails, where the domain name of the email address (@youragency.com) is the same as the agency's website.
If your organization uses multiple domain names for its email addresses, please make sure that all of them are listed in the "Domain Names to Exclude" field otherwise the email will be imported under the Person's records.
Exclude an email address or domain name
This is helpful for situations where an employee uses an external email address to communicate with other employees or when an adoptive parent is also an employee and their work email address is entered in their file. To exclude email addresses you must have "Full-Admin" permissions.
- Click Settings from the SAM home page
- Click on Email Importing Settings
- Click on Edit Email Importing Settings in the sidebar
- Enter the email addresses separated by a coma in the Email Addresses to Exclude or the Domain Name in the Domain Names to Exclude. You'll notice that by default your agency's URL will be excluded.
Once an email has been imported, it can only be removed by deleting the Communication record. We can offer support to remove a large number of Communication records if needed. Please communicate those needs via the Support link in your site.
Exclude email folders
By default, SAM excludes folders, like "Junk" and "Deleted Items", but there may be other folders, such as "Personal" that you don't want imported. "Excluded Folders" are a global setting, not per-user.
To exclude folders from email importing:
- Open the Settings page
- Click on Email Importing Settings
- Click on Edit Folders to Exclude from Importing in the Sidebar
- Click on Add List Item to add a new folder.
Please Note: The "Real Folder" names may not always be what your folder is titled. For example, a folder called "Sent Items", may be called "Sent_Items" inside of the email server. So, if emails are still being imported from a folder you've added to the Exclude List, then please contact us for support on finding the real folder name.
