The Entity-Convert functionality allows SAM administrators to set one entity as another. This maintains the current record and creates another record that is linked and carries forward common fields like address, phone number, and email. This connection maintains consistency for when these common fields are updated from either record.
Main Entity Types Links
This is a field on all Main Parent Tables that provides links to records that are linked using this function. It can be added to Cover Pages and other forms to access linked records. There is also a Main Entity Types checkbox-list field on all Parent Tables, which tracks the linked entity types.
Get There
- Open a record's Cover Page Form > Advanced Options > "Convert to other Entity Type".
- Select the other Type of Record to set the original record as. Example: Family is to be converted to a Donor.
- Confirm when prompted.
Possible duplicate records are shown with an option to link to do so. Users will be prompted to confirm upon clicking link.
If the record is already connected to other records, they will be shown in the "Existing Connections" section.
Permissions Requirements
A user must have permission to edit records to access this function. Users must also have access to edit specific entity types to convert a record to that entity. For example, if a permission limits access to Donors, but can view and edit Families, the User will be unable to select Donor in the Conversion process.
To Remove a Link
- Click the Edit link on the Existing Connections section
- A pop-up will open with the connections. Click Remove on the records that no longer need to be connected.
