Auto Actions in SAM have a few settings that are important to understand:
Execute more than once per record
You may decide to execute a task multiple times if the task should be done more than once until satisfied. For example, if you'd like an email to go out weekly to a family until the family returns their post adoption report.
Other tasks, like updating a field value should only be done once per record, so if a user re-enters or changes the received date, it won't trigger the Auto Action again. In this case, do not check the box.
This selection is made when creating a new Auto Action in the Name area.
Once the Auto Action is created, the Execute More Than Once Per Record section will say "Yes." Click the green pencil to edit this section.
Note: This setting refers to the specific/target record (such as Respite Credit Balance), not the main record or entity (such as Child), so it could be once for each PAR.
Confirm before sending email option
Auto Action emails can be set to confirm before sending, which requires users to manually confirm rather than automatically sending the email when triggered behind the scenes. This setting is recommended for emails to clients, especially when the Auto Action is recently created.
User options for the email:
Confirm and Send Email
- Sends the message to the recipient email addresses
- Copies the email to the Communications on the record's sidebar
Edit Body
- Opens to write additional text and format the message
Cancel
- Terminates the email from sending
Snooze
- Closes the email temporarily for the designated time. The email will open again in 2 hours or other custom time entered.
The x at the top right
- This will close the email immediately, but reopen when the users changes screens
