SAM can track a Family's fees/expenses for adoption services.
Access Fees/Expenses from the Family’s side bar. This form shows all fee records and sums the Family's total fees paid for the Case and total of all cases.
1. Click Add Adoption Fees (AR).
2. Enter Fee Type and Fee Amount.
1. Click on the green pencil for the correct record.
1. From the Adoption Fees (AR) Overview form, click Advanced Options.
2. Click Delete of the Adoption Fees. A red 'x' will appear next to each record.
Setting up Fees
The Adoption Fee Types list allows your service fees to be selected. This is a special list that has options to specify an automatic default amount and set a category, which is used to group multiple fees, like those specific to a program.
When payments are received they can be entered manually through the Fees/Expenses screen. Click edit on the fee record being received and enter the Amount received and Received fields.
Payments can also be received from an Invoice. Review the Invoice & Receipts guide on that process.
If partial payments are collected, click Enter Partial Payments at the bottom right.
When finished, click Save.
Overpayments on AR & AP records
SAM can automatically apply an overpayment on an AR record to other unpaid AR records, so that you don't have to manually split a Received Amount between different AR records, nor need to enter Partial Payments.
When an entry to the Amount Received field is greater than the Fee Amount, SAM will automatically apply the overage to the next unpaid AR by Due Date, so the most outstanding fees are paid first.
AR records with an Overpayment applied have the Overpayment Applied field set to Yes and the Net Amount field decreased, however, the Amount Received will not change.
The Overpayment feature is enabled by default, but can be disabled.
2. Misc Advanced System Settings
3. In the "Accounting" section uncheck "AR | Auto Apply Overpayments" or "AP | Auto Apply Overpayments"
If Overpayments are disabled SAM will show a negative Net Amount if the Amount Received is greater than the Fee Amount.
