Persons are employees, users or contacts. They are all grouped under one category for simplicity, but should be categorized through the Person Type field or some other combination of fields, to pull groups of similar Persons through Reports.
A person record should not be a family, foster family or birth parent in the system.
Should an employee or other professional contact uses your services for adoption, you can use the entity conversion feature to create a client record connected with their original Person record (Advanced Options > Convert to Other Entity).
Persons do not have cases, as they aren't intended for client or program use.
Create a New Person Record
You can add a new Person record from the sidebar on the home page, or the sidebar found on the Person tab.
The Person Type field comes by default on your SAM site and allows you to specify their role, such as an employee, case worker, or home study provider. You should use the field to define common roles in your organization and how those roles relate to clients.
Since your organization works with many different kinds of people, giving at least one Person Type per record is the best way to explain their relationship to your agency. It also allows you to quickly find and filter people by their roles.
Person Types as Filters for List fields.
Some SAM fields use the Person Type field as a filter by default. Your admin can also create additional fields and lists filtered by the Person Type field.
On the Family's case, the Social Worker/Case Manager field is set to filter Persons where Person Type = Employee/Staff. However, if you have more staff than are Social Workers, you may want to set that field to be filtered by Person Type = Social Worker.
Add your Agency record and connect your staff records by setting the staff's "Main Organization" or by adding a "New Person to this Organization" from your Agency's Organization Record.
Enter each staff's Person Type as "Employee/Staff. The Person Type = Employee/Staff will distinguish employees from other Persons.
